Assistant Dean for Student Career Advising - School of Medicine
Job Description:
In partnership with the Assistant Dean of Student Affairs and the Director of Academic Support and Career Counseling, this position will oversee the overall operations of the Medical Student Career Advising Program.
Essential Job Functions:
- Develop and manage a comprehensive four-year advising plan, focusing on four main areas:
- Faculty: Oversee the recruitment, training, monitoring, retention, monetary compensation, and awards of the advising faculty.
- Students: Match or assign career advisors to all students, arranging special matching for out of sync students and those placed on an academic reassignment or leave of absence. Connect students to their career advisors and monitor activity to ensure compliance with advising policy. Provide guidance and support to students through the Match process.
- Liaison and Curriculum Development: Liaison with clinical departmental chairs, program directors and faculty, the Research Enterprise, Osler Societies, and other student interest groups, UTMB alumni, Academic Affairs and GME to develop and incorporate educational materials in courses, provide workshops, institute programs, and create systems to benefit students career development. Participate in career advising policy making and curriculum development.
- Data Management and Monitoring: Compile and disseminate data to help manage students’ career expectations, advising progress and the identification of student concerns. Assess progress and satisfaction with career advisors and compliance with advising recommendations. Coordinate with Academic Support and Career Counseling to identify and work with students who may have a higher-than-average risk of being unsuccessful in the NRMP match
- Develop training programs and materials to assist students in identifying a specialty, choosing appropriate electives, asking for letters of recommendation, compiling a competitive application, writing a personal statement, and participating in mock interviews
- Monitor the timely submission of applications into ERAS, and obtain from the students regular information regarding applications, interview invitations, and ranking
- Ensure all students have met requirements necessary to be verified in NRMP
- Oversee the SOAP process, including preparing students, training advisors, and monitoring participation to ensure that all unmatched applicants are engaged in the appropriate actions to maximize the chance of matching
- Oversee MATCH day festivities
- Adheres to internal controls and reporting structure.
- Performs related duties as required.
Minimum Qualifications:
MD Degree, and at least 5 years’ experience working with medical students as a faculty advisor, clinical preceptor, or course director
Knowledge/Skills/Abilities:
- Experience in medical career choice advising.
- Ability to work collaboratively with a wide range of stakeholders.
- Ability to balance a range of student needs and priorities.
