Sr. Business Operations Manager, ASG1
Job Description:
Plans, manage and a working lead for the staff service and business management functions for multiple areas under the Shared Administrative Services. Responsible for overall management of departmental administrative and technical services, staff coordination, policy and procedure development, strategic planning and special projects across multiple areas.
Minimum Qualifications:
Bachelors degree or equivalent experience and four years of related experience.
Preferred Experience:
- Master’s degree or equivalent and six years of experience in academic research administration
- Proven history of process improvement
- Experience in developing/adapting IT systems to improve efficiency of business operations
- Track record of motivating staff in trying times (team building)
Specific Job Related Duties:
- Manages and directs administrative or operational departmental services, processes and special projects across multiple areas.
- Directs and coordinates the development of guidelines, policies, procedures and standards to improve administrative operations.
- Assists the Administrator and Assistant Administrators within ASG1 in identification of inefficient work processes and leads efforts to gain efficiencies which will allow the team to attain goals and objectives.
- Facilitates communication with departmental/center/institute/school staff members during the development of annual budgets.
- Oversees multiple administrative or operational projects as assigned.
- Responsible for staff development programs including programs to increase employee satisfaction.
- Responsible for forming ad hoc support teams in response to institutional/area initiatives.
- Empowers administrative team to align/modify work processes.
- Assists the administrative team in establishing and attaining goals and objectives.
- Provides information coordination between administrative staff and leadership.
- Oversees compliance and other training for ASG1 areas.
- Facilitates and assumes responsibility for annual inventory processes.
- Provides guidance for interpretation of UTMB rules, regulations and policies.
- Provides mediation and conflict resolution as assigned.
- Meets with administrative support team to receive feedback, gather ideas & empower employees.
- Makes complex administrative decisions regarding organizational and departmental issues.
- Assists with personnel functions as assigned.
- Conducts employee performance reviews & makes recommendations for incentivizing great performance.
- Identifies appropriate internal controls for ASG1 areas; provides mechanisms to monitor and implement compliance.
- Represents the department leadership in their absence as needed.
- Adheres to internal controls and reporting structure.
- Performs related duties as required.
