Constituent & Gift Coordinator - Development Services (Galveston)
Minimum Qualifications:
Associates degree or equivalent and two years related experience.
Job Summary:
Accountable for the accurate and timely processing of philanthropic donations to the University of Texas Medical Branch (UTMB), maintaining confidentiality of donor information and ensuring gift processing complies with UT System, UTMB, Development Office and general gift accounting standards.
Job Duties:
- Responsible for processing receipt of gifts from various sources including mail, payroll, lock box, online transactions, or credit card charges.
- Enter gifts to Raiser’s Edge database using multiple methods including batch, payroll deduction import, or direct entry to constituent records as appropriate and upload scanned gift documentation to the record. Follow defined gift processing procedures.
- Ensure that gift information is entered accurately by type, fund, campaign, solicitor, linking to memberships, events, pledges, proposals or planned gifts when appropriate.
- Perform reviews of all gifts entered and code appropriately.
- Ensure gifts are entered correctly within 7 days of receipt.
- Become adept at gift processing concepts and train on database systems
- Provides customer service to alumni and other donor constituencies, regarding donor designation, allocation, receipts, and recognition.
- Processes large volume of gifts in the form of cash, checks, charge cards, stock transfers, IRA transfers, royalty payments or other valuables.
- Identifies processing problems or deficiencies, takes corrective action and makes recommendations for changes. Researches and resolves problems related to transactions and other activities handled by the unit.
- Produce accompanying reports for gift review, deposit and gift notification to staff.
- Analyzes gifts and documentation to determine legal donor, gift category, IRS charitable types and funds for application and charitable gift eligibility. Works with development officers to coordinate appropriate pledge applications/designation.
- Administers gift acknowledgement process for donors. Coordinates with Development team on gifts from key donors, pledges or fund, a foundation or a matching gift company.
- Create new and maintain existing biographical records and information including addresses, business and employer information, matching gift company information, name changes and other facts pertinent to our constituents. Review gift document and multiple additional sources including the BBNC connector, staff updates, etc.
- Assisting other coordinators with entering gifts and/or biographical data as needed during peak periods.
- Complete cashier training and meet all other assigned compliance training.
Preferred Qualifications:
- Adhere to internal controls and reporting structure. Knowledge of donor database and gift transaction processing.
- Ability to demonstrate Microsoft Office skills including Word, Excel and Outlook.
- Knowledge of accounting, computer and information systems.
- Ability to communicate effectively and professionally with the public
Salary Range:
Actual salary commensurate with experience.
Work Schedule:
Monday through Friday, 8am to 5pm and as needed on occasion.
